Would you rather not have Cavell used? Just tell your doctor. He or she will take notes themselves. Your care stays the same.

Your data stays your data

The audio and transcription of your conversation are not stored anywhere, not at Cavell, not at your healthcare provider. No one at Cavell reads or listens to what is said, and your information is not used to further train Cavell's models.

Your doctor remains responsible

Cavell only writes things down. Your doctor reviews every note and letter, adjusts where needed, and remains ultimately responsible for what goes into your record.

What does Cavell do during your consultation?

Cavell listens during the conversation with your doctor and converts what is said into text. Your doctor uses that text to draft a note or letter. He or she reviews everything, adjusts where needed, and remains ultimately responsible. Cavell does not make diagnoses itself and does not make treatment decisions.

Is the conversation recorded?

The audio is briefly used to generate text but is not stored on Cavell's servers. It remains temporarily in the electronic health record (e.g. KWS from Nexuzhealth) during the recording and is deleted afterwards.

Can you refuse the use of Cavell?

You can indicate at any time, including before the conversation starts, that you do not want Cavell to be used. Your doctor will then take notes themselves.

What data is processed?

SECURITY

Depending on what is discussed during the conversation, this may include: identification data (such as name and date of birth), health data (medical history, examinations, diagnoses, medication), family and hereditary information, and in some cases lifestyle or psychosocial information. Exactly which data comes up depends on what you and your doctor discuss.

What is your data used for?

Only to help your doctor draft an accurate note or letter about your consultation. Your data is not used to improve the system, not for commercial purposes, and not for advertising.

How long is your data kept?

DATA RETENTION

At Cavell itself, nothing from your conversation is stored: not the audio, not the transcription, not the textual input. These are only processed to help your doctor draft a note or letter, and nothing remains on Cavell's servers. How long the final letter is kept depends on how your doctor uses Cavell. If your doctor uses Cavell as a standalone application, the note is stored locally in the doctor's browser for a maximum of 14 days. After that, your doctor chooses in which electronic health record (EHR) the note is saved. If your doctor works with Cavell via an integration in their EHR, retention depends on that integration. For example, if your doctor uses Cavell within KWS (Nexuzhealth), only the final letter is stored in your record. The audio and transcription are not stored anywhere in that case, not at Cavell, not at KWS.

Is your data processed outside Europe?

SECURITY

Your data is processed on servers in the European Union (AWS in Frankfurt). Cavell's providers are contractually obliged to process your data within Europe (European Residency). Some of these providers are American companies. In theory, a US authority could in exceptional cases request access to data held by such a company, even if it is stored in Europe. That is why Cavell has additional safeguards: contracts that explicitly forbid storing or using your data for AI training, and encryption of all data in transit and at rest.

How is your data secured?

Your data is strongly secured at every step of the process. Everything is encrypted in transit, healthcare-provider access requires multi-factor authentication, and strict access controls are in place. Polaris Health itself cannot view the content of your consultation. Cavell's security is aligned with the NBN EN ISO/IEC 27001:2023 standard, an internationally applied standard for information security.

Who is responsible for your data?

MY RIGHTS

The controller for the processing of your data is still your doctor or healthcare provider. Polaris Health, the company behind Cavell, acts as processor: Polaris Health processes the data only on behalf of and according to the instructions of your doctor or healthcare provider.

How do you contact the Data Protection Officer (DPO)?

For privacy questions about Cavell you can always reach Cavell at privacy@cavell.ai. These questions are forwarded to the external DPO via Cranium NV.

What rights do you have?

Under the GDPR you have the right to: be informed, access your data, have errors corrected, have data erased, restrict processing, obtain a copy for transfer, object, and lodge a complaint.

How do you exercise your rights?

In the first instance, please contact your doctor or healthcare provider, they manage your record and can handle most requests themselves. For requests specifically about Cavell: privacy@cavell.ai. You can always lodge a complaint with the Belgian Data Protection Authority (GBA), Drukpersstraat 35, 1000 Brussels, contact@apd-gba.be.

Can the AI make mistakes?

AI

Yes. No AI model is 100% error-free. That is why your doctor always remains ultimately responsible: he or she reviews the text and adjusts it before it enters your record. The tool also explicitly displays a warning that the result must always be checked.

Is your data used to train the AI?

No. Polaris Health and its subcontractors have contractually agreed that your data will not be used to train or improve AI models.

On what legal basis is my data processed?

MY RIGHTS

The legal basis for processing your data is determined by your doctor or healthcare provider, they are the controller. Most commonly this is the performance of the care relationship between you and your doctor and the legal obligation to maintain an accurate medical record (in line with healthcare legislation and the GDPR, art. 6 and 9). Cavell itself acts as processor and only acts on the instructions of your doctor or healthcare provider.
